Free Pest Control Invoice Template

Short answer

A pest control invoice records each treatment visit with its date, the products and proofing used, any extra visits, and the amount due with payment terms.

A pest control invoice does two jobs: it asks for payment and it records the treatment. Landlords, property managers and food businesses often need that record for their own files, so the invoice should say what was treated, when, and with what. Billing visit by visit also makes the follow-ups visible, which helps the client understand that the price covered a course of treatment, not a single spray.

What to include in a pest control invoice

  • Each visit with its date

List the inspection, treatment and follow-up visits by date, so the client can see the full course and match it to their records.

  • Treatment and products used

Name the method and the product type used on each visit. Some clients need this for their own compliance records.

  • Proofing and clean-up done

Show the entry points sealed and any clean-up work, with quantities, as separate lines from the treatment itself.

  • Extra visits agreed

If activity continued and you added a visit, show it on its own line with the date and the price agreed.

  • Service plan period

For a recurring plan, state the period the invoice covers ("prevention plan, October to December") so renewals are clear.

  • Payment terms and reference

Due date, how to pay and the site address or account number, which matters for clients with several properties.

How to write a pest control invoice, step by step

  1. Collect your visit records

Gather the dates, findings and products for each visit before you write the invoice, so it matches your service reports.

  2. Bill the treatment course

Copy the treatment lines from the accepted quote and confirm the number of visits made.

  3. Add proofing and extras

Add the proofing work done and any extra visits, each with the quantity and the agreed price.

  4. Include the site reference

For landlords and businesses, put the property address or site name on the invoice so it reaches the right budget.

  5. Send it promptly

Send the invoice when the course is complete, or after each visit if that is what you agreed, with a clear due date.

Payment terms and getting paid

Fourteen days is a common term for homeowners and small businesses. Larger commercial clients may pay on monthly cycles, so ask at the start what their accounts team needs: a purchase order number, a site reference or a copy of the service report.

Prevention plans are recurring by nature. Invoice them on the same day each period for the same amount, and the client will quickly treat the plan like any other regular bill.

Frequently asked questions

Should I invoice pest control per visit or for the whole treatment?
If you quoted one price for the full course, invoice it once the course is complete, or take part up front and the balance at the end. Per-visit invoicing suits call-out work and open-ended treatments.
Do I need to list the products used on the invoice?
It is good practice and some clients, such as food businesses and landlords, need it for their own records. The rules on treatment records differ by place, so check what applies where you work.
How do I bill a recurring prevention plan?
Invoice the agreed plan price at the start or end of each period, monthly or quarterly, and list any call-outs outside the plan as separate lines. If the plan has a minimum term, show the remaining months so the client knows where they stand at renewal time.
