Free Cleaning Invoice Template

Short answer

A cleaning invoice lists the visits completed, the date of each, any add-ons and missed-visit charges, and shows the total due, the due date and how to pay.

Cleaning is repeat work, so invoices are frequent and small, and the easiest way to lose money is to let them slide. A clear cleaning invoice shows which visits it covers, by date, so the client can match it to their own diary. It also keeps add-ons and late-cancellation charges visible rather than buried in a single total, which is what makes a client trust the next invoice as much as this one.

What to include in a cleaning invoice

  • Visit dates covered

List each visit with its date, or state the period ("visits in October: 7th and 21st"). A client who sees the dates rarely queries the amount.

  • The agreed visit price

Use the same price and description as the accepted quote, so each invoice looks the same and nothing appears to have crept up.

  • Add-ons actually done

Inside the oven or fridge, extra rooms, laundry or ironing: list only the extras done on those visits, each on its own line.

  • Missed visits or lockouts

If a visit was cancelled late or you could not get in, show the agreed charge on its own line with the date, so it reads as policy rather than a penalty.

  • Supplies and key holding

If you charge for products or for holding keys, show those lines consistently on every invoice.

  • Due date and payment options

A short due date suits small recurring invoices. Give a card payment link or bank details, and the invoice number to quote as a reference.

How to write a cleaning invoice, step by step

  1. Pick your invoicing rhythm

Decide whether you invoice after each visit or once a month, and keep to it. Regular clients get used to the pattern and pay in step with it.

  2. List the visits by date

Add each visit in the period with its date and the agreed price, so the invoice matches what the client remembers.

  3. Add extras and charges

Add any add-ons done and any late-cancellation or lockout charge, each with the date it applies to.

  4. Check the access notes

If the client gave you a new key code or asked for a change, note it in your records, not on the invoice, which may be shared.

  5. Send it on the same day each time

Send after the visit, or on the first working day of the month, with a due date the client can plan around.

Payment terms and getting paid

For regular house cleaning, seven days from the invoice date is a common term, and some cleaners ask to be paid on the day of each visit. Commercial clients usually pay monthly against a purchase order, so agree that cycle at the start and put their reference on every invoice.

Recurring clients are the ones who benefit most from a fixed routine: the same invoice on the same day each month, a card link that takes a few seconds, and a polite reminder before the due date rather than a chase afterwards.

Frequently asked questions

Should I invoice cleaning clients after every visit or monthly?
Either works if you are consistent. Per visit keeps amounts small and cash coming in; monthly means fewer invoices for both of you. Many cleaners invoice one-off jobs on the day and regular clients monthly.
Can I charge for a visit when I could not get in?
If your quote or terms said a lockout or late cancellation is charged, yes. Show it on its own line with the date and the agreed amount. If it was never agreed, it is better to raise it with the client first.
How do I invoice a commercial cleaning contract?
Invoice the agreed monthly price for the regular service, add any periodic or extra work as separate lines, and include the client's purchase order or contract reference so their accounts team can match it.
