Free Roofing Invoice Template

Short answer

A roofing invoice bills the squares installed, materials used and decking actually replaced, subtracts the deposit and shows the balance due after clean-up.

A roofing invoice settles the questions the quote had to leave open: how many decking sheets were actually replaced, whether any extra flashing was needed, and the final measured area. Because a roof is a long-lived purchase, the invoice should also be the homeowner's record of what was installed and the warranties that come with it. Insurers, buyers and the next roofer will all want to see it eventually.

What to include in a roofing invoice

  • Squares installed

The final count, matching the quote unless the measurement changed once the old roof was off.

  • Decking actually replaced

The number of sheets used against the allowance, with any extra shown and noted as approved.

  • Materials installed

Shingle line and colour, underlayment and ventilation, so the invoice doubles as a product record.

  • Warranty details

The manufacturer warranty, any registration, and the length of your workmanship warranty.

  • Deposit and balance

The deposit received, subtracted, and the balance due shown clearly.

  • Due date and payment

When the balance is due, and how to pay it.

How to write a roofing invoice, step by step

  1. Finish the clean-up first

Invoice once the nail sweep is done and the client has seen the finished roof.

  2. Update the decking line

Change the allowance to the number of sheets actually replaced, up or down.

  3. Add approved extras

Any extra flashing or repair agreed during the job goes on its own line.

  4. Record materials and warranty

Add the products installed and the warranty terms.

  5. Subtract the deposit and send

Show the deposit and balance due, and send the invoice the day the job is complete.

Payment terms and getting paid

The balance on a roofing job is usually due on completion or within a short term such as ten days. Where an insurer is paying part of the job, say on the invoice which amount you expect from the homeowner now and which depends on the insurer, so nobody waits on the wrong party.

Give the homeowner the warranty documents with the invoice, or tell them when they will arrive. Lien rights and notice requirements vary widely, so check the rules where you work before relying on them. If the homeowner is selling the house soon, a clear invoice with the warranty attached is often something their buyer will ask for.

Frequently asked questions

What if fewer decking sheets were needed than allowed?
Invoice the number actually used. A credit on the allowance line is one of the best trust signals a roofer can give, and it is what an allowance is for.
When is the roofing balance usually due?
On completion, or shortly after, once the roof is finished and the site is clean. Put the exact term on the quote so the client agreed to it before work started.
How should a roofing invoice handle the insurance deductible?
Bill the homeowner for their share, including the deductible, and show what is expected from the insurer separately. Keep the amounts the homeowner owes easy to find.
Should I invoice a roof repair differently from a full re-roof?
A repair invoice is usually paid on the day and is shorter, but it should still say where the leak was, what caused it, what you replaced and how long your repair is guaranteed. If you saw other problems on the roof, recommend them in a separate quote rather than a line on the invoice.
