Free Carpentry Invoice Template

Short answer

A carpentry invoice bills the materials, workshop and fitting hours and agreed design changes, subtracts payments already made, and shows the balance due.

By the time a carpentry job is fitted, the client has usually paid a deposit and perhaps a stage payment, so the final invoice has to show clearly what is left. It should follow the accepted quote line by line, list any design changes the client asked for along the way, and subtract everything already paid. Carpentry clients often keep the invoice as a record of what the piece is made from, so naming the materials again is worth the extra line.

What to include in a carpentry invoice

  • The accepted quote reference

Quote the number and date of the accepted quote or drawing revision so the client can compare the invoice with what they agreed.

  • Materials and hardware supplied

Repeat the materials and fittings used. If you used a different but equivalent product, say so.

  • Workshop and fitting hours

For a fixed-price job, show the agreed amounts. For an hourly job, show the hours actually worked against each stage.

  • Design changes as extras

An extra shelf, a different handle or a change to the door style goes on its own line with the date it was agreed.

  • Payments already made

Subtract the deposit and any stage payments, each with its date, and show the balance due as the final figure.

  • Care and warranty notes

A line on caring for the finish and the warranty on workmanship turns the invoice into a useful record for the client.

How to write a carpentry invoice, step by step

  1. Start from the accepted quote

Use the quoted lines and descriptions so the invoice and the quote read the same.

  2. Record changes made during the job

Add each agreed change as an extra, with a brief description and price, rather than adjusting the original lines silently.

  3. List the payments received

Deduct the deposit and any stage invoices already paid, with their dates.

  4. Add care and warranty notes

Note how to look after the finish and any warranty on joints, hinges and fitting.

  5. Send on the day you finish fitting

Send the invoice when the piece is fitted and the client has seen it, with a due date and payment options.

Payment terms and getting paid

Fourteen days from the invoice date is a common term for the balance on domestic work, and some carpenters ask for the balance on completion of fitting. If the client is a builder or designer passing your work on, agree their payment cycle before you start.

For stage payments, send each stage invoice as soon as the stage is reached, such as when the piece is finished in the workshop, rather than waiting until the end. It keeps the amounts manageable for the client and your materials paid for.

Frequently asked questions

How do I invoice a carpentry job with stage payments?
Agree the stages on the quote, invoice each one when it is reached, and on the final invoice list every payment already received before the balance due. The client should be able to see the full price and what is left at a glance.
What if the client changed the design halfway through?
List each change as its own line with the agreed price. If a change was not priced at the time, talk to the client before invoicing it, so the invoice is not the first time they hear the cost.
Should the invoice show the materials used?
It is helpful. The client knows what they paid for, and if they ever need a repair or matching piece, the invoice tells them the timber, sheet and hardware types.
