Free Flooring Invoice Template

Short answer

A flooring invoice bills the area laid, materials, removal, subfloor prep and extras like door trims, subtracts the deposit, and shows the balance due.

A flooring invoice should read like the quote with the actual numbers filled in. If the final measured area, the levelling compound used or the number of doors trimmed differ from the estimate, the invoice is where that difference is shown and explained. Clients look hard at square footage, so showing it clearly, along with the deposit already paid, keeps the final payment quick and friendly.

What to include in a flooring invoice

  • Area actually laid

Show the square footage installed in each area, which may differ slightly from the quoted measurement once skirting and doorways are finished.

  • Materials supplied

Boards, underlay, adhesive and trims, with the product name and batch or colour reference so the client can buy matching boards later.

  • Removal and prep done

Removal, disposal and the subfloor prep actually needed, with quantities, especially if more levelling was required than expected.

  • Agreed extras

Extra rooms, stairs or repairs found under the old floor go on their own lines with the date they were agreed.

  • Deposit and balance

Subtract the deposit and show the balance due, so the client is clear about what is left.

  • Care instructions and warranty

Note how long before heavy furniture goes back, the cleaning products to use, and the warranty on installation.

How to write a flooring invoice, step by step

  1. Confirm the final measurements

Check the area laid and the materials used against your quote before you write the invoice.

  2. Copy the quote lines

Use the same descriptions and rates, changing only quantities that differ.

  3. Add extras with explanations

Add each agreed extra, such as subfloor repairs, with a short note of what was found.

  4. Deduct the deposit

Show the deposit as a deduction with its date and the balance due as the final figure.

  5. Send on completion

Send the invoice when the floor is finished and the client has walked on it, with a short due date and easy ways to pay.

Payment terms and getting paid

With most of the material cost covered by the deposit, a short term for the balance is normal, such as payment on completion or within seven days. For trade clients and builders, agree their payment cycle before ordering the flooring.

Keep leftover boards for the client and mention it on the invoice: it is useful for future repairs and shows the waste allowance was not wasted. A short note on the invoice about which products to clean the floor with also saves you a phone call and protects your installation warranty from the wrong cleaner.

Frequently asked questions

What if the final area is larger than the quote?
If the quote was based on your own measurements, small differences are usually absorbed. If the client added a room or area, bill it as an agreed extra at the quoted rate per square foot.
How do I invoice subfloor repairs found during the job?
Stop, show the client what you found, agree the price, then list it on the invoice as a separate line with a short description. The quote's assumptions line is what makes this straightforward.
Should the flooring invoice include the product batch number?
It is a good idea. Batches of the same product can differ in colour, so the batch reference helps the client match boards if they ever need a repair.
