Short answer

A painting invoice bills the surfaces painted and coats applied, the paint used and any agreed touch-ups or extras, minus the deposit, with a due date to pay.

A painting invoice usually follows a walk-through where the client has looked at every wall. The invoice should match that walk-through: the rooms and surfaces painted, the product used and any extras agreed along the way, such as an extra coat on a bold colour or a ceiling added on the second day. It is also the client's only record of which paint went on which wall, which they will want when touching up scuffs in a year.

What to include in a painting invoice

  • Rooms and surfaces completed

The same surface lines as the quote, adjusted if a room was added or removed.

  • Paint record

Brand, line, colour name or code and sheen for each area. Clients keep this for future touch-ups.

  • Extras and extra coats

Any additional coat, repair or surface the client asked for, as its own line with the agreed price.

  • Deposit received

The deposit subtracted, and the balance due as the clear final figure.

  • Leftover paint

Note any leftover paint left with the client and where it is stored.

  • Due date and payment options

A short term after completion and the ways the client can pay.

How to write a painting invoice, step by step

  1. Do the walk-through first

Invoice after the client has seen the work and any touch-ups are done.

  2. Start from the accepted quote

Keep the quote lines and adjust quantities to what was painted.

  3. Add extras with the date agreed

Each extra goes on its own line so the client sees why the total moved.

  4. Record colours and products

Add the colour and product details, either on the lines or in the notes.

  5. Subtract the deposit and send

Show the deposit, the balance due and the due date, and send the invoice the same day.

Payment terms and getting paid

Payment on completion, or within a few days of it, is normal for residential painting. Commercial clients and property managers often work on a longer term; agree it before you start so the job is priced with that wait in mind.

If the client holds back payment over a small touch-up, fix it quickly and say on the invoice that touch-ups from the walk-through are complete. It removes the most common reason a painting invoice stalls. For exterior work finished late in the season, invoice as soon as the last coat is dry rather than waiting for a second visit to collect leftover materials.

Frequently asked questions

When should a painter send the final invoice?
After the walk-through, once any touch-ups are done. Sending it the same day, while the client is admiring the rooms, gets it paid faster.
Should I list paint colours on the invoice?
Yes. The colour, brand and sheen for each area make the invoice a useful record, and clients appreciate not having to guess when they need to touch up.
How do I bill an extra coat the client asked for?
As its own line, with the surface and price you agreed when they asked. If the quote already priced an optional third coat, use that figure.
What if the job used less paint than quoted?
If you quoted paint as a separate line by quantity, invoice what was used. If the quote was a fixed price for the whole job, the fixed price stands.
