Free Flooring Quote Template

Short answer

A flooring quote states the measured area, waste allowance, product, underlay, subfloor prep, old floor removal and labour per square foot, plus a deposit.

Flooring quotes are won and lost on square footage. The client measures a room, multiplies by a price per square foot they saw in a showroom and expects your number to match. It never does, because a real installation includes waste for cuts and pattern, underlay, lifting the old floor, levelling the subfloor, doors that need trimming and trims at every threshold. A flooring quote that shows each of those as a line explains the gap before the client has to ask, and makes your price easy to compare with a quote that left them out.

What to include in a flooring quote

  • Measured area and waste allowance

Show the measured area and the waste you are adding for cuts and offcuts, separately. Diagonal or herringbone layouts need more waste than straight lays, and the client should see why.

  • The exact product

Name the product, thickness, finish and colour, or give a supply allowance per square foot if the client is still choosing. If the client buys the flooring, say that your price is labour only.

  • Removal and disposal

Lifting carpet, tiles or old boards, removing gripper and staples, and disposal are real work. Price them on their own lines.

  • Subfloor preparation

Levelling, repairs to boards, moisture testing or a moisture barrier: write down what you will do and what you are assuming about the subfloor.

  • Doors, trims and transitions

Undercutting frames, trimming doors, threshold strips, skirting or scotia, and stair nosings if there are stairs.

  • Furniture and access

Say whether you move furniture and appliances or the client clears the room, and note parking and access for deliveries.

How to write a flooring quote, step by step

  1. Measure every room yourself

Measure on site rather than using the client's figures, including alcoves, cupboards and doorways, and draw a quick plan.

  2. Check the subfloor

Look for unevenness, squeaks, damp and the type of subfloor. These change the prep work and sometimes the product you should recommend.

  3. Work out materials with waste

Add a waste allowance suited to the layout and product, then price boards, underlay, adhesive and trims for that total.

  4. Price labour per square foot and per task

Use a per-square-foot rate for laying and separate prices for removal, levelling, doors and stairs.

  5. Write your assumptions

State what you assumed about the subfloor and what happens if you find rot, damp or something unexpected when the old floor comes up.

  6. Set the deposit and dates

Give the delivery and installation dates, how long the flooring needs to acclimatise on site, the deposit and the quote expiry date.

Deposits and payment terms

Because flooring is ordered for a specific job and colour batch, many installers ask for a deposit on acceptance that covers the material, with the balance due on completion. Special-order products may need payment in full before ordering; say so on the quote.

If the subfloor needs more work than you could see, agree the extra before carrying on and confirm it in writing. Rules on how much may be taken up front for home improvement work vary, so check what applies where you work.

Frequently asked questions

How much waste should a flooring quote include?
It depends on the product, the room shape and the layout. Straight lays in square rooms need less; diagonal, herringbone and rooms with many corners need more. Show the allowance on the quote so the client sees it is not hidden in the price.
Should flooring be quoted per square foot or per job?
Use a per-square-foot rate for materials and laying, and fixed prices for removal, doors, stairs and trims. The client can then see how the total is built and you are paid for the extra tasks.
What if the client supplies their own flooring?
Quote labour and materials such as underlay and trims only, and state that you are not responsible for defects in client-supplied product or for shortfalls if they bought too little.
