Free Pest Control Quote Template

Short answer

A pest control quote names the pest, the treatment, every visit including follow-ups, the prep the client must do, and the price of each part.

Most pest problems are not solved in one visit, and that is where pest control quotes go wrong. The client hears a single price and expects the problem gone by the weekend; you know the treatment needs follow-ups, proofing and possibly a service plan to stop it coming back. A clear quote sets out the whole course of treatment, what the client needs to do to prepare, and what happens if activity continues, so the follow-up visits are expected and paid for rather than argued about.

What to include in a pest control quote

  • What you found

Name the pest, the extent of the activity and where you found it. A short findings line ("droppings in loft and behind kitchen units, two likely entry points at the rear wall") shows the price is based on an inspection, not a guess.

  • The full course of treatment

List the initial treatment and every follow-up visit included in the price. If more visits might be needed, say what they cost so the client is not surprised.

  • Products and methods

Describe the method in plain words: bait stations, traps, gel, spray, heat. Note where products are placed and whether they are kept out of reach of children and pets.

  • Prep and safety instructions

Tell the client what to do before and after: clear cupboards, move furniture from walls, keep pets out for a set time, ventilate rooms. Treatment results depend on it.

  • Proofing as its own line

Sealing entry points is separate work from killing the pests. Price it separately so the client can see why it matters and choose it.

  • Guarantee and service plan terms

If you guarantee the result for a period, state the conditions (prep followed, proofing done). If you offer a recurring plan, show the visit frequency and price per visit or per quarter.

How to write a pest control quote, step by step

  1. Inspect before you price

Find the pest, the scale of the problem and how it is getting in. Different pests and levels of activity need very different treatments and visit counts.

  2. Plan the treatment course

Decide on the method, how many visits it needs and the interval between them, then write each visit as its own line.

  3. Price proofing and clean-up separately

Entry-point sealing, removal of nests or droppings and damaged insulation are distinct jobs with their own time and materials.

  4. Write the client's prep list

Put the prep and safety instructions on the quote, so the client agrees to them along with the price.

  5. Offer a prevention plan

For pests that return seasonally or for commercial kitchens, quote a recurring plan with a clear frequency and price, as an option alongside the one-off treatment.

  6. State the guarantee and send

Say what is guaranteed, for how long and under what conditions, add the expiry date of the quote and send it the same day.

Deposits and payment terms

Homeowners usually pay after the first treatment or once the course is complete; some technicians invoice each visit as it happens. For larger jobs such as a loft clear-out or extensive proofing, asking for part of the price up front covers materials and confirms the booking.

Service plans work best billed on a fixed cycle, monthly or quarterly, at the same amount each time. Commercial clients may need treatment records with each invoice, and the rules on which products you may use and the records you keep vary by place, so check what applies where you work.

Frequently asked questions

Should a pest control quote include follow-up visits?
Yes. Most treatments need at least one follow-up to check activity and top up or remove products. Include the visits you expect in the price and say what any additional visit would cost.
How do I quote a pest control service plan?
State the pests covered, the number of routine visits a year, what each visit includes and whether call-outs between visits are included. Price it per visit, per month or per quarter, and give the minimum term if you have one.
What if the client does not follow the prep instructions?
Put the prep list on the quote and make your guarantee conditional on it. If a visit cannot go ahead because the property was not prepared, say whether that visit is charged.
Can I give a price without visiting?
For a standard treatment such as a wasp nest, a fixed call-out price is common. For rodents, bed bugs or anything structural, give a price for the inspection and quote the treatment after you have seen it.
