Free Landscaping Quote Template

Short answer

A landscaping quote separates one-off projects from recurring lawn care, prices plants and materials by quantity, and sets visit frequency and a deposit.

Landscaping quotes usually mix two kinds of work: a project with a beginning and an end, such as a new bed or a patio, and maintenance that repeats every week or month through the season. Mixing them into one number makes both hard to understand. Separate them, price plants and materials by quantity, and say how often maintenance visits happen and what each visit includes. The client can then accept the project, the maintenance or both, and you have a clear basis for the season's invoices.

What to include in a landscaping quote

  • Project work and maintenance apart

One section for the one-off project and one for recurring care, each with its own total. A client may say yes to one and not yet to the other.

  • Plants by size and count

List plants by container size and quantity. "8 shrubs, 3-gallon" can be compared; "shrubs as needed" cannot.

  • Materials by volume

Soil, compost, mulch and gravel in cubic yards or tons, delivered and spread, so the client sees what is going into their garden.

  • Visit frequency and scope

For maintenance, say how often you come and what each visit covers: mowing, trimming, edging, blowing, weeding beds.

  • Plant guarantee and watering

Whether you guarantee new plants, for how long, and on what condition, usually that the client waters them as advised.

  • Access, utilities and weather

Gate access, where materials can be dropped, marking of underground lines before digging, and how rain days are rescheduled.

How to write a landscaping quote, step by step

  1. Walk the property

Measure beds and lawn areas, check soil, slope, drainage and access for deliveries and machinery.

  2. Design or confirm the scope

Agree the planting plan or project scope with the client, with sketches or photos if it helps.

  3. Count plants and materials

Work out quantities of plants, soil, mulch and stone, and price each as its own line.

  4. Price labour and machinery

Add labour for preparation and installation, plus any equipment hire and green waste disposal.

  5. Set the maintenance schedule

Price per visit, state the frequency and season, and say how extra work on a visit is charged.

  6. Add terms and send

Deposit for the project, how maintenance is billed, the plant guarantee and the expiry date.

Deposits and payment terms

For projects, a deposit on acceptance helps cover plants and materials ordered for the job, with the balance on completion. Maintenance is usually billed per visit at the end of each month, or as a fixed monthly amount spread over the season, which gives the client a predictable bill and you a predictable income.

Say what happens on skipped visits, such as a week of drought or rain, and whether the monthly amount changes. Contract and cancellation rules for recurring service agreements vary by place, so check the rules where you work.

Frequently asked questions

Should lawn care be quoted per visit or per month?
Both work. Per visit is simple and fair when the number of visits varies. A fixed monthly price over the season is easier for the client to budget and smooths your income, as long as the quote says how many visits it covers.
How do I quote plants when the client has not chosen them?
Give a plant allowance per size, such as a price per 3-gallon shrub, and the number you plan. Final choices then adjust the total in a way the client can predict.
Should a landscaping quote include a plant guarantee?
Many landscapers offer one, usually for one season and on the condition that the client waters as advised. Whatever you offer, state it on the quote so it is not assumed.
