Free Consulting Invoice Template

Short answer

A consulting invoice bills the days, phase or retainer for the period, lists expenses separately with receipts, and shows the PO number and payment term.

Consulting invoices are usually read by someone who was not in the room: a finance manager checking that the days, the rate and the expenses match what was approved. The clearer the link to the quote and the period covered, the faster the invoice is approved. For a retainer, the invoice is predictable by design: the same amount, the same date, every month.

What to include in a consulting invoice

  • Period or phase covered

State the dates or the phase ("Phase 2: process mapping, 3-14 November") so the client can match it to their records.

  • Days or hours worked

For day-rate work, list the days with a one-line description of each. For a fixed fee, list the deliverable completed.

  • Retainer line

If the client is on a monthly retainer, show it as one line with the month it covers, separate from any extra days.

  • Expenses with receipts

Travel, accommodation and other costs on their own lines, at cost, with receipts attached or available.

  • Purchase order and contact

The client's PO number and the name of the person who approved the work.

  • Payment term and method

The due date, the term agreed in the quote and how to pay, such as card or bank transfer.

How to write a consulting invoice, step by step

  1. Invoice on a fixed rhythm

Send monthly invoices on the same day each month, or as each phase is delivered, as agreed on the quote.

  2. Match the approved rate and days

Use the quoted rate and stay within approved days. If you went over, attach the approval for the extra days.

  3. Separate fees from expenses

List expenses after fees, each with a date and description, so they can be checked quickly.

  4. Add the PO number

Put the client's purchase order number near the top where an accounts team will look for it.

  5. Credit any advance payment

Subtract the initial payment from the final invoice, or from the invoices it was meant to cover.

Payment terms and getting paid

Thirty days is a common term with businesses. If the engagement runs for several months, monthly invoicing keeps the amounts manageable for the client and keeps your cash flow steady, instead of one large bill at the end.

Retainers are best invoiced automatically in advance, on the same date each month, so the client pays for the coming month's access. State the notice period for ending the retainer on the quote and repeat it on the invoice.

Frequently asked questions

How often should a consultant invoice?
Monthly for ongoing day-rate or retainer work, or on completion of each phase for project work. Agree the rhythm on the quote so the client expects each invoice.
Should expenses go on the same invoice as fees?
Usually yes, on separate lines below the fees, with dates and receipts. Some clients prefer a separate expense invoice; ask during the quote.
What if the engagement needed more days than quoted?
Bill extra days only if they were approved, ideally in writing, before you worked them. Attach or reference that approval on the invoice so the finance team does not have to chase your contact for it.
How do I invoice a monthly retainer?
Send the same amount on the same date each month, in advance, with the month it covers. Bill any work beyond the retainer as extra lines at the agreed rate.
