Short answer

A consulting quote, or proposal, states the objective, the deliverables, the day rate or fixed fee, how expenses are billed and when invoices are sent.

Consulting clients are buying an outcome they cannot fully see in advance, which makes the quote do two jobs at once: explain what you will deliver and set limits on how far the engagement goes. A good consulting quote names the problem, lists the deliverables, prices your time by the day, by the project or as a monthly retainer, and treats expenses and invoicing as part of the agreement rather than an afterthought.

What to include in a consulting quote

  • Objective and scope

One short paragraph on what the engagement is meant to achieve, followed by what is in and out of scope. "Review warehouse operations" is different from "review and redesign them".

  • Deliverables

Reports, workshops, plans or a number of advisory hours, each as a line with a price. Clients approve deliverables more easily than days.

  • Pricing model

Day rate, fixed project fee or monthly retainer. If you use a day rate, give an estimated number of days and say how extra days are approved.

  • Expenses

Travel, accommodation and third-party costs: billed at cost, with a cap, or included in the fee. Say whether receipts will be attached.

  • Client responsibilities

Access to people, data and systems by agreed dates. Delays on the client side often stretch the engagement, so name them.

  • Invoicing schedule

When you invoice (monthly, per phase or on delivery) and the payment term, so the client's finance team can plan.

How to write a consulting quote, step by step

  1. Confirm the problem in writing

Summarise the client's situation and what success looks like. It shows you listened and anchors the scope.

  2. Design the phases

Discovery, analysis, recommendations, implementation support. Each phase gets deliverables and a time estimate.

  3. Price each phase

Days times your rate, or a fixed fee per phase. Show the total so the client sees the full commitment.

  4. Set out expenses separately

Estimate travel and other costs and state how they are billed, so the fee is not confused with pass-through costs.

  5. Add terms and governance

Who approves extra days, how changes in scope are handled, payment terms and how either side can end the engagement.

  6. Give it a validity period

Your availability changes. A quote valid for 30 days protects your calendar.

Deposits and payment terms

Consultants commonly ask for an initial payment on signing, then invoice monthly for days worked or per completed phase. A monthly retainer, paid in advance, suits ongoing advisory work where the client wants guaranteed access to your time.

State the payment term on the quote; Net 30 is common with businesses, and some clients need a purchase order number on every invoice. Ask about their approval process now, because an invoice without the right reference can wait a long time.

Frequently asked questions

Is a consulting quote the same as a proposal?
They overlap. A proposal usually explains your approach in more detail; a quote focuses on deliverables, price and terms. For most small engagements a quote with a short scope section is enough.
Should I quote a day rate or a fixed fee?
A fixed fee works when the deliverables are well defined, and it lets the client budget. A day rate suits exploratory work. Many consultants fix the fee for discovery and quote later phases once the scope is clear.
How should I handle expenses on a quote?
Estimate them, say whether they are billed at cost or included, and add a cap if the client needs certainty. Keep them on separate lines from your fees.
What is a consulting retainer?
A fixed monthly fee for a set amount of your time or availability, usually paid in advance. Write down what it covers and how unused time is treated.
