Free Web Design Quote Template

Short answer

A web design quote breaks the site into milestones and pages, lists what the client supplies, and keeps hosting, domain registration and upkeep separate.

A website is a project with many moving parts and a client who often cannot judge how long any of them take. Quoting by milestone, counting pages and features, and writing down what the client must provide (copy, photos, logins) is what keeps a four-week build from becoming a four-month one. It also separates the one-off build from the ongoing costs the client will carry after launch, such as hosting and a care plan.

What to include in a web design quote

  • Pages and features counted

Name every page template and feature (contact form, booking link, blog) with a price. "A website" with one total gives the client no way to see what changes if they add a page.

  • Milestones with deliverables

Discovery, design, build and launch, each with what the client will see at the end and approve before the next stage begins.

  • Content and access the client supplies

Copy, images, brand files and logins for any existing accounts, with a date. If you are writing the copy, price it separately.

  • Hosting and domain registration

Say who pays for hosting and the domain registration, and that they are registered in the client's name. Ongoing third-party costs belong outside the build price.

  • Revision limits and browser support

State the rounds of design changes included and the browsers and devices you test on, so "it looks odd on my old tablet" has a clear answer.

  • After launch

Offer a care plan or say how post-launch changes are billed (hourly or per request), and for how long you fix defects in your own work at no charge.

How to write a web design quote, step by step

  1. Agree the sitemap first

A list of pages and what each one does is the backbone of the quote. Price from it, not from a vague description.

  2. Price each milestone

Turn the project into three to five milestones, each with a price and a clear deliverable.

  3. List features separately

Forms, booking links, e-commerce or integrations each get a line, since they are where time disappears.

  4. Write down dependencies

Content due dates, account access and approvals. Make the schedule depend on them in writing.

  5. Separate one-off and ongoing costs

The build is one total; hosting, domain registration, licences and the care plan are recurring and shown on their own.

  6. Set terms and an expiry date

Deposit, milestone payments and how long the quote stays valid before you need to re-check your schedule.

Deposits and payment terms

A deposit on acceptance reserves your time and covers the discovery and design work that happens before there is anything live. After that, invoicing per milestone keeps payments in step with progress and avoids a single large bill at launch.

Make launch, or the handover of admin access, depend on the final milestone being paid, and say so on the quote. For a monthly care plan, bill it in advance each month and state how much notice either side gives to stop it.

Frequently asked questions

Should hosting be included in a web design quote?
It is clearer to keep it separate. Hosting and domain registration are ongoing costs that should be in the client's name, so list who pays for them and how, outside the one-off build price.
How do I quote when the client has no content yet?
Either price copywriting as its own line or make the build milestone depend on the client delivering content by a date. Without that, the project stalls with you waiting and unpaid.
Fixed price or hourly for a website?
A fixed price per milestone suits a well-defined site; an hourly rate suits open-ended work such as changes to an existing site. Many developers quote the build fixed and later changes hourly.
