Free Freelance Invoice Template

Short answer

A freelance invoice lists the work delivered or hours worked, quotes the client's PO, credits any deposit, and states the due date and how to pay.

For a freelancer, the invoice is often the only document the client's finance team ever sees, so it has to stand on its own. It needs your details, theirs, what was delivered, any purchase order or reference they asked for, and a due date that matches what was agreed. Getting those right first time is the single biggest thing you can do to be paid without chasing.

What to include in a freelance invoice

  • Your business details

Name, address and contact details, plus a tax or business registration number if your country requires one on invoices. Check the rules where you work.

  • Client's reference or PO number

If the client gave you a purchase order or project code, put it on the invoice. Many accounts teams will not pay without it.

  • Work delivered or hours worked

For fixed-price work, list the deliverables as quoted. For hourly work, show the hours, the rate and the period they cover.

  • Extras agreed during the project

Additional rounds or deliverables go on separate lines, with the date they were requested.

  • Deposit credited

Subtract any deposit paid so the balance is clear.

  • Due date, late terms and payment options

An exact due date, the late payment term you agreed on the quote, and how to pay, such as card online or bank transfer.

How to write a freelance invoice, step by step

  1. Number it and date it

Use a sequential invoice number and the date you send it; both make the invoice easy to find and reference later.

  2. Add the client's reference

Ask for a PO or reference at the start of the project and include it here.

  3. List what you are billing

Copy deliverables from the quote, or total your hours for the period with a short description of the work.

  4. Credit payments already made

Subtract the deposit or earlier invoices so the balance is the only number to act on.

  5. Send it to the person who pays

Your contact may not be the one who pays. Ask who should receive invoices and send it to them directly, copying your contact.

  6. Follow up on a schedule

A polite reminder before the due date, on the day and a week after keeps payment moving without awkwardness.

Payment terms and getting paid

Write the due date as a date, not only as "Net 30", so nobody has to calculate it. If the client's payment run is monthly, ask which date invoices must arrive by to make it, and send yours in time.

If you charge a late fee, the invoice should repeat the term exactly as the quote stated it. In practice, a friendly and persistent reminder schedule, plus an easy way to pay by card, resolves most late invoices without a fee.

Frequently asked questions

What must a freelance invoice include?
Your details, the client's details, an invoice number and date, the work billed with prices, any tax, the total, the due date and how to pay. Some countries require extra details such as a tax number, so check the rules where you work.
How soon should a freelancer invoice?
As soon as the work, or the agreed stage, is delivered. For ongoing hourly work, invoice on the same day each month so the client can plan for it.
What do I do if a client misses the due date?
Send a short, polite reminder with the invoice attached and a payment link, then follow up again after a week. Keep the tone factual: most late payments are oversights, not refusals.
Can I invoice before the work is finished?
Yes, if you agreed it. Deposits, stage payments and monthly billing for ongoing work are all normal, as long as the quote said so.
