Short answer

A plumbing invoice bills the parts fitted and labour hours worked, lists any agreed extra repairs, subtracts the deposit and shows the balance and due date.

Plumbing invoices get questioned when the total is higher than the quote and the reason is not written down. If you replaced an extra valve or spent two more hours freeing a seized fitting, the invoice is where that gets explained, ideally as something the client agreed to on the day. For call-outs, the invoice is often handed over on site, so it should be short enough to read in the doorway and specific enough to file for a home warranty or insurance claim.

What to include in a plumbing invoice

  • The job address and date of work

Plumbing invoices are often kept for insurance or home-sale records, so the address and date matter as much as the price.

  • Parts actually fitted

List each part with a quantity and price. Model numbers for heaters and major fixtures help the client with future warranty claims.

  • Labour hours worked

Show the hours on site and your rate, or the fixed price from the quote. If you quoted fixed and finished early, the fixed price still stands.

  • Extras agreed on site

A second leaking valve or a replaced trap the client asked you to sort while you were there goes on its own line, with a short note of who agreed it.

  • Deposit and balance

Subtract any deposit and show the balance as the final figure so nothing looks double-charged.

  • Payment terms and methods

The due date, and the ways the client can pay: card on the spot, card from a link, or bank transfer.

How to write a plumbing invoice, step by step

  1. Copy the accepted quote

Use the same line descriptions so the client can check each one against what they agreed.

  2. Record what changed

Adjust lengths of pipe and part counts to what was used, and add any agreed extra repairs as separate lines.

  3. Add model numbers and warranty

Note the heater or fixture model and the warranty on your labour, so the invoice is useful long after it is paid.

  4. Subtract the deposit and set the due date

Show the deposit received, the balance due and a specific due date.

  5. Send it before you leave

An invoice handed over or sent from the van at the end of the job is paid sooner than one written up at the weekend.

Payment terms and getting paid

Many plumbers ask for payment on completion for call-outs and small repairs, and allow 7 to 14 days on larger planned jobs. Landlords and property managers may want a longer term; agree it before the work rather than discovering it when the invoice is ignored.

Being able to take a card payment on site, or from a link the client opens on their phone, removes most of the reasons a small plumbing invoice goes unpaid. For the rest, a short, polite reminder around the due date is usually enough.

Frequently asked questions

Should a plumber invoice on site or later?
On site, or the same day, whenever you can. The client has just seen the work, the details are fresh, and many will pay straight away if they can do it by card.
How do I bill for extra repairs found during the job?
Stop and agree the extra with the client before doing it, then add it to the invoice as its own line with a short description. Never fold it into the labour line, where it looks like overrunning.
What should a plumbing invoice say for an emergency call-out?
The time of the call, the call-out or out-of-hours rate, what you found, what you did and the parts used. Emergency invoices are the ones clients most often question, so the detail protects you.
