Free HVAC Invoice Template

Short answer

An HVAC invoice records the equipment installed with model and serial numbers, the labour and parts used, the deposit received and the balance due by its date.

An HVAC invoice is a record the homeowner will need again: for warranty claims, for a future sale of the house and for the next technician who opens the unit. Beyond billing the work, it should capture the model and serial numbers, the install date and the warranty terms. For service calls, the invoice explains what you found and what you did, which is what turns a one-off repair into a customer who calls you again next season.

What to include in an HVAC invoice

  • Model and serial numbers

For every unit installed, so warranty claims and future service are straightforward.

  • Install date and start-up readings

The commissioning date and, if you record them, the readings at start-up. It shows the system left you working as it should.

  • Parts and labour

Match the accepted quote line for line, and add any agreed extras such as a replaced section of duct or a condensate pump.

  • For service calls, findings

A short note of what was wrong and what you did, in words the homeowner understands.

  • Deposit and balance

The deposit taken at acceptance, subtracted, and the balance due as the final figure.

  • Warranty and payment terms

Your labour warranty length, the manufacturer registration status, the due date and how to pay.

How to write an HVAC invoice, step by step

  1. Start from the accepted option

Use the exact option the client accepted, so the equipment and price match what they agreed.

  2. Add serial numbers and dates

Copy them from the units before you leave the site, while they are easy to read.

  3. Record agreed extras

Anything added during the install, with a short reason and a note that the client approved it.

  4. Subtract the deposit

Show the deposit as a deduction and the balance due clearly.

  5. Send it at start-up

Invoice once the system is commissioned and the client has seen it running.

Payment terms and getting paid

For installations, the balance is usually due on completion or within a short term such as 7 to 14 days. Service and repair calls are commonly paid on the day, and a card payment taken on site keeps small invoices from lingering.

If the client is paying through a financing arrangement or a utility rebate, note on the invoice which part is expected from whom, so the amount the homeowner owes is not confused with the full job price.

Frequently asked questions

Should an HVAC invoice include serial numbers?
Yes. They make warranty claims simple, help the next technician and are useful when the house is sold. Record them for every major component you install.
How do I invoice a maintenance plan?
As its own invoice on its own schedule, usually yearly or monthly, rather than mixed into a repair invoice. A recurring invoice for the plan keeps it from being forgotten.
What if a rebate covers part of the install?
Invoice the full price, then show the rebate as a separate line only if you are claiming it for the client. If the client claims it, leave it off and give them the paperwork they need.
How should a service call invoice describe the repair?
In plain words: the symptom the client reported, what you tested, the part that had failed and what you replaced. Add a recommendation if the system needs further work soon, with a separate quote rather than a vague warning.
