Free Moving Quote Template

Short answer

A moving quote is built from an inventory of items, the crew and truck, hourly or flat pricing, stairs and long carries, packing materials and damage cover.

Moving quotes go wrong when the inventory in the quote is not the inventory on moving day. The client forgets the garage, the shed or the piano at their parents' house, and a four-hour job becomes seven. A good moving quote is built from a written list of what is moving, states the access at both ends, and makes the pricing model clear, hourly with a minimum or a flat price for the listed inventory. It also explains what protection the client has if something is damaged, in plain language, before anything is loaded.

What to include in a moving quote

  • The inventory

List rooms and large items: beds, sofas, wardrobes, appliances, specialty items such as pianos, safes or artwork. The price is only as good as this list.

  • Hourly or flat price

State whether the job is billed by the hour with a minimum, or as a flat price for the listed inventory, and how additional items or time are charged.

  • Access at both addresses

Floors, elevators, stairs, parking distance and long carries, narrow streets or permits for parking the truck. Each changes the time and the crew needed.

  • Packing and materials

Say whether the client packs or you do, and list boxes, tape, mattress bags and wrap with prices, noting what is loaned and what is sold.

  • Damage protection options

Explain the basic protection included and any additional valuation or insurance option with its cost. What is offered and what is required differs by place, so describe it as it applies where you work.

  • Date, arrival window and cancellation

Moving date, crew arrival window, how much notice is needed to cancel or change the date, and what happens to the deposit if they do.

How to write a moving quote, step by step

  1. Survey the home

Walk through in person or by video call, room by room, including lofts, basements, garages and outbuildings, and write the inventory as you go.

  2. Check access at both ends

Ask about stairs, elevators, parking, distance from the truck and building rules such as booked elevator times.

  3. Choose the crew, truck and pricing model

Size the crew and truck to the inventory, estimate hours, and decide whether to quote hourly with a minimum or a flat price.

  4. Add packing, materials and extras

Price packing time, boxes and wrap, furniture disassembly and specialty items separately.

  5. Explain protection and terms

Set out damage protection options, the deposit, payment on the day and cancellation terms in plain language.

  6. Confirm the inventory with the client

Send the quote with the inventory attached and ask the client to confirm it is complete before they accept.

Deposits and payment terms

A booking deposit on acceptance holds the date and crew, especially in busy months and at month-end. The balance is commonly paid on the day of the move, once the goods are delivered, so say on the quote whether you take card on the day, and whether the deposit is refundable if the client cancels with enough notice.

Moving is regulated differently from place to place, including what estimates must contain, how far a final bill may exceed an estimate and what liability movers carry. Check the rules where you work and reflect them in your quote wording.

Frequently asked questions

Should I quote moves hourly or as a flat price?
Hourly with a minimum suits local moves where time is hard to predict; a flat price suits moves with a confirmed inventory and clear access. With either, state how extra items or time are charged so moving day has no surprises.
How do I price stairs and long carries?
Add them as their own lines, a flat charge per flight or per job, or extra crew time. Clients understand these charges far better when they are named on the quote than when they appear on the day.
Can I give a moving quote without seeing the home?
A video walk-through works for many moves. Without any survey, quote from a detailed written inventory and state that the price may change if the inventory or access differs on the day.
